The process of legalizing foreigners in the logistics industry

Obraz

Polish logistics company operating for the fashion industry, dealing with transport and storage of goods throughout Poland. With warehouses in 4 cities (Wrocław, Warsaw, Gdańsk, Poznań).

Challenge

The client encountered a serious problem in 2023 related to the lack of qualified drivers and warehouse workers due to the limited market of candidates from Ukraine. Due to the growing demand for logistics services, the company began to consider hiring foreigners, especially from countries outside the European Union and Ukraine, i.e. Belarus, Georgia, Moldova and Armenia.

However, the company faced a challenge due to the complicated, diverse and time-consuming procedures related to legalising the stay and work of these employees. The company did not have the resources and knowledge to handle the legalisation process on its own, which resulted in delays in employment and the inability to quickly increase employment in key operational areas.

Solution

The client decided to cooperate with the Folga agency, which specializes in, among others, legalization of foreigners and providing HR support for companies in the logistics sector. Folga employs hundreds of employees from 24 countries around the world every day.

1. Comprehensive handling of the legalization process: Folga took full responsibility for the process of obtaining work permits and legalizing the stay of employees from outside the European Union. As part of this process, the agency coordinated the preparation and submission of applications to provincial offices and helped in obtaining the appropriate documents, such as temporary residence and work permits.

2. Management of employee documentation: The Agency ensured the completeness of documentation, monitoring the validity dates of permits and facilitating the extension of documents legalizing stay and work in Poland.

3. Shortening the employment period: Thanks to its experience in conducting legalization processes, the Folga agency significantly shortened the waiting time for formalities, which allowed the Client to quickly engage new employees.

4. Support in employee adaptation: The Agency not only took care of the legalization of stay, but also supported foreigners in the process of adaptation in Poland, helping to find accommodation, translate documents and organize training in the field of Polish labor law and health and safety regulations.

Effects

  • Increased staff resources: The client quickly filled staff shortages by hiring over 150 new employees from non-EU countries within 2 months. This allowed the company to increase the number of orders and improve operational efficiency.
  • Shortening the legalization process: Thanks to the professional support of the agency, the time needed to legalize stay and work was shortened by 30%, which allowed the company to implement new employees faster.
  • Reduction of legal risk: The client minimized the risk related to non-compliance with immigration and labor law regulations. Folga ensured the proper implementation of all formalities, which affected the security of employment of foreigners.
  • Improving reputation: Thanks to its professional approach to employing foreigners, the company has gained a reputation as a responsible and trusted employer, which has strengthened its position on the market.
  • Increased operational flexibility: The client achieved rapid adaptation to changing market and business conditions, flexibly managing staff resources depending on current needs.

Conclusions

Thanks to the cooperation with the employment agency Folga, the Client not only efficiently completed the process of legalizing employees from abroad, but also significantly increased its operational capacity and competitiveness on the logistics market. Professional documentation management and fast legalization of foreigners allowed the company to smoothly implement new employees and increase the efficiency of the services provided.
